Trustees of the Trust Funds Emergency Meeting

Meeting date:

Stoddard Trustees of the Trust Funds
Emergency Meeting Minutes – March 29, 2023
Meeting called to order at 7:33 PM
Members Present – David Lesser, Dean Dorman and Terri LaRoche (all via Zoom)
David explained the reason for the Emergency meeting is twofold, Aten Rd Village District has indicated they
believe there is a discrepancy in their fund, and the Town has requested Little Big Forest Funds be returned
to the Town,
Aten Rd. Village District
Joyce Healy contacted David indicating their fund appears to be short $1500.00 and has sent him material
showing they have deposited $1500.00 each year. There was belief it may have been in 2020. Reviewing
accounts the 2020 1500.00 Deposit was made on 4/1/20. We do not see a 2022 Deposit. NHDPIP shows
GLVD with a 5/12/22 purchase of $21,500.00. Review of TD bank shows a single deposit of $21,500.00 on
4/6/22 but check copies are not available online that far back to validate if perhaps $1500.00 was ARVD.
David indicated full transaction history is available at the bank. Terri will go to TD Bank tomorrow
(3/30/2023) to see if we can get a print of full transaction history from 2017 forward and specifically copies of
checks deposited 4/6/22 and let David and Dean know.
No firm action plan was solidified until findings are complete but it was discussed that if the deposit was
inadvertently made to the wrong NHDPIP account, we likely would not only need to transfer the $1500.00
but try to calculate interest and work with both GLVD and ARVD to get a concencus on total transfer.
Little Big Forest
Terri outlined the situation with the Town Administrator asking for a return of all LBF funds to the Town.
Geoff Jones has agreed this is viable as Brenda will keep records on the Con Com and LBF. Geoff did indicate
that he felt we should stay status quo “for now” due to Zeffy and current fundraising efforts. The Trustee’s
made the following proposal:
 All new donations to the Town should immediately start being deposited by the Town.
 Trustee’s will let current check and deposits clear and the April Zeffy Transfer process. Once this has
a solid cleared balance a Bank check will be obtained payable to the Town of Stoddard (Bank check is
preferred due to large sum).
 Trustee’s will leave the account open to allow for continued Monthly Transfers through June (occurs
within the first few days of the month) and write a check to the Town each month for the Zeffy
Balance (act as a pass through for Zeffy).
 Account will be closed befored the end of the month in June so we are complete within this fiscal
year.
 David will communicate Trustee’s proposal
Motion was made by David and seconded by Dean to accept the above proposal and passed unanimously.
Meeting was adjourned by unanimous vote at 8:23
